02· SEE EVERYTHING

We build the visual state of your business.

Most owners run their business from memory, a phone, and four apps that don’t talk. We build you a custom system where all of it lives: every enquiry, quote, job, customer and invoice, current and in one place, with automations and an assistant keeping it moving. It is the thing we are known for. It is the reason we are called Visual State.

Custom software, built around how you run.

This is not off-the-shelf software you bend your business around.

We map how your work moves,

from first enquiry to paid invoice, then build your system to match: your services, your stages, your rules about who sees what.

It runs under your name on your domain,

works on every phone, and nobody who uses it will ever see our name on it.

No per-seat subscriptions

stacking up underneath it either.

What you see when you sign in.

The demo above is modelled on the system we run our own agency on.

One inbox

Calls, web forms, messages and emails arrive in one stream, attached to the right customer. Nothing sits in a personal inbox waiting for someone to remember it, and when a customer rings back, whoever answers can see the whole story. In week one, the change most owners notice is that “did anyone reply to that?” stops being a question.

The routine work runs itself.

Around your system we build automations that carry the repetitive work: invoice chasing that escalates politely and stops the moment payment lands, quote follow-ups that stop when the customer replies, SMS and email reminders, renewal warnings before contracts lapse, and a morning brief that tells you what changed overnight and what needs you today. They run on schedules, or fire the moment something happens: a record changes, an email arrives, a booking is made.

And because automation you can’t trust is worse than none: if an automation fails, it pauses itself and raises its hand. Nothing fails silently.

6:02 amInvoice chase sent to two clients. Skipped one: paid overnight.
8:30 amYour morning brief: 3 quotes need follow-up, 1 approval waiting.
11:41 amQuote follow-up stopped. Dean replied: accepted.
4:15 pmContract renewal warning: Strata West, 30 days out.
11:00 pmEvery account health-checked. One moved to Watch.

An assistant that knows your business.

Built into your system is an assistant grounded in your live records and your documents: your price list, your policies, your service areas. Ask it what’s overdue, who hasn’t been followed up, or what was quoted last time. It answers from the record, not from memory.

It doesn’t just answer. Within rules you approve, it acts: logs the enquiry, updates the job, books the follow-up, drafts the quote for your approval desk. And it meets people where they already are: in the system, or on WhatsApp and Telegram. Each person it talks to sees only what they’re allowed to see. Consequential decisions stay with your team.

Your system, your modules.

No two businesses get the same build. Around the core, we add only what yours will actually use.

Customer portal

For businesses whose customers expect a window in. Your clients sign in and see only their own world: job progress, quotes to approve, invoices to pay, shared files, requests. They stop ringing for updates because the updates are already there. Plenty of businesses don’t need this. If yours does, it’s ready.

Payments built in

Invoices and bookings paid inside the system by card, Apple Pay or Google Pay, one-off or recurring, with every payment landing on the customer’s record. Fewer “I’ll do it tonight” promises, more paid invoices.

Quotes approved, contracts signed

Quotes accepted with one tap and contracts signed digitally, with the signed copy filed on the record automatically.

Paperwork becomes data

Photograph an invoice, drop in a PDF or a spreadsheet, and it lands as structured records: supplier, amount, due date, job. The shoebox of receipts stops being a Sunday job.

Your app, in the app stores

For businesses that want their system on the App Store and Google Play under their own name, we package and prepare it for submission.

and anything with an API

It connects to what you already use.

Your system plugs into the tools your business already runs on: your email and calendar, your accounting, your spreadsheets and drives, your booking and forms tools, your socials and your ad accounts. Where a tool has no off-the-shelf connection, we build one; if it has an interface, we can connect it. We verify every connection before we promise it, and where one isn’t dependable you get a clear manual path instead of a fragile one.

QuickBooks · Xero · HubSpot · Stripe

Slack · Microsoft Teams · Instagram · Google Ads

And if you already talk to an AI assistant every day, your system can answer there too: ask about your own jobs, customers and numbers from the assistant you already use, safely scoped to your own login.

Why us.

We run Visual State on a system just like this: our pipeline, our clients, our invoices, our automations. We are not reselling someone else’s product; we build on the same foundations we trust our own business to.

01

The engineering is backed by degrees in computer engineering and cyber security. The books side is backed by an accountant. The creative side has seven years of commercial photography behind it. Small team, real credentials, no outsourcing.

02

Your system runs on independently audited infrastructure (SOC 2 Type II, ISO 27001), encrypted in transit and at rest, with access sealed per person and per client. We test those walls, not just trust them.

And we’re the only team you need in the building. The same people who build your system build the AI layer that runs your routine work and the growth engine that fills your pipeline, so nothing gets lost between suppliers.

Built for the way your industry works.

The system is custom either way. These are the shapes we build most.

Quotes drafted while you’re on the tools, approvals from the ute, invoices chased to paid.

02

Construction and trades

Variations written down once, progress visible to the office and the site, claims on time.

03

Common questions

No. Off-the-shelf tools make you work their way. We build yours around the way you already run, and it keeps changing as your business does.

No. Most builds start small: the core system plus the one or two automations that hurt most. Modules get added when the business is ready for them, and never before.

Only the ones that deserve it. Your accounting, calendar and email usually stay and get connected. What goes is the spreadsheet nobody updates and the app that only one person understands.

You do. It’s your system and your records, and your data is exportable. If we ever part ways, it leaves with you.

Every build is quoted per project after the Operations Review, because a solo cleaner and a six-person manufacturer need very different systems. You’ll know the exact price before anything starts, and there’s no lock-in.

We stage the build so the piece that hurts most is working early, and you’ll have the staged plan before we start. No system is delivered as a big bang months away.

The quality of work is next level.
